MAIN TASKS AND RESPONSIBILITIES:
Role Description:
The Grants Officer plays a central role in securing funding to support high-impact, evidence-based programs. This position involves managing relationships with donors, coordinating project design, and supporting comprehensive monitoring and evaluation to ensure the effectiveness and sustainability of initiatives. The role also includes coordinating the development of grant proposals, donor reports, budget plans, and change requests across assigned regions.
Key Responsibilities:
  • Research and identify new funding opportunities from foundations, trusts, corporate donors, institutional funders, and European Union programs.
  • Prepare high-quality grant proposals, letters of inquiry, concept notes, budgets, and supporting documentation.
  • Monitor project implementation and ensure all reporting deadlines for grants are met within the assigned regions.
  • Represent the organization at donor meetings, workshops, and networking events as required.
  • Support staff in understanding donor requirements, proposal processes, and monitoring and evaluation expectations.
  • Advise management on funding opportunities, policy developments, and potential external partnerships relevant to assigned areas.
  • Facilitate coordination of program activities across teams to ensure timely communication, exchange of guidance, and alignment of priorities.
  • Provide on-demand information to internal stakeholders regarding implementation status, gaps, challenges, and achievements.
  • Coordinate inputs for concept notes, proposals, and strategic documents to support fundraising efforts in designated regions.
  • Collaborate with senior management in implementing fundraising strategies, researching new donors, and promoting the organization’s unique approach.
  • Maintain accurate and up-to-date donor and grant records in tracking systems to support transparency and reporting.
  • Contribute to organizational learning by documenting best practices and sharing insights from project evaluations.
  • Participate in internal planning and review meetings to align fundraising efforts with program priorities.

PROFESSIONALS AND GENERAL QUALIFICATIONS
  • Specialization(s)/Professional Designation: Education in Public or Business Administration program or project management, management or other relevant discipline at least 5-6 years of proven experience.
  • Prior experience in designing and maintaining tools for fundraising. proposal writing, and donor reporting.
  • Prior experience working within an international organization/NGO highly desirable.
  • Familiarity with major institutional donors and foundations.
  • Knowledge of latest project management techniques and MEAL (monitoring and evaluation) practices.
  • Experience working in animal welfare, veterinary, or community-based programs is an asset.
  • Awareness of the global issue Animal welfare is an asset.  
  • Proven proficiency of Bosnian and English languages.
  • Proficiency in Microsoft applications, including Word, Excel and Power Point.
  • Clean driving licence.

  • Strong ability to write high-quality grant proposals, concept notes, and reports.
  • Ability to develop and review project budgets aligned with activities and staffing plans.
  • Ability to interpret donor guidelines and translate them into compliant proposals.
  • Ability to design or contribute to monitoring, evaluation, accountability, and learning
  • (MEAL/M&E) frameworks.
  • Ability to maintain accurate and organized grant documentation, and to monitor project
  • implementation and ensure timely reporting.
  • Ability to manage multiple deadlines and grant cycles simultaneously.
  • Ability to work independently with minimal supervision.
  • The success of the position hinges on establishing and maintaining effective interpersonal relationships.
  • Ability to interact positively with colleagues regardless of culture, nationality or gender.
