Agency MojPosao.ba - Kolektiv Ltd. is currently looking for a new team member for an international company.

                                  Executive Assistant (m/f)

Main tasks and responsibilities:
  • Ensuring C-suite executives adhere to the company's travel policies and guidelines.
  • Reviewing and approving travel expenses for C-suite executives.
  • Monitoring travel costs to ensure cost-effectiveness.
  • Categorizing documents based on type, sensitivity, or purpose.
  • Implementing a standardized naming and numbering system.
  • Developing document retention policies to comply with legal requirements.
  • Providing training and guidelines on protocol adherence.
  • Developing crisis management protocols for responding to emergencies and unforeseen events.
  • Enforcing protocols consistently and fairly.
  • Managing consequences for protocol violations.
  • Organizing catering services for board members, including meals and refreshments.
  • Accommodating dietary restrictions and preferences.
  • Implementing security measures to protect sensitive board discussions and information.
  • Managing visitor access and confidentiality.
  • Creating detailed itineraries for investor site visits.
  • Coordinating transportation and visit schedules.
  • Organizing place, entertainment, games, or activities to engage attendees.
  • Planning the menu, including food and beverages.
  • Coordinating with catering services or vendors.
  • Managing guest invitations and tracking RSVPs.
  • Coordinating with presenters and panelists.
  • Managing attendee registration, ticketing, and badges.
  • Providing information and support to conference participants.
  • Coordinating with exhibitors and sponsors, including booth setups and promotional materials.

Professional and general qualifications:
  • Preferably University Degree although not essential provided relevant prior experience.
  • Work experience 3 years in the same or similar jobs
  • Proficient in English; both verbal and in writing.
  • Knowledge of administrative and clerical procedures and systems, such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Ability of good verbal and written correspondence.
  • Organizational and communication skills.
  • Proficient in the use of MS Office Suite Programs (MS Word, Excel, PowerPoint, Outlook).
  • Driver’s license, active driver.
